1. Who we are

Payvex is a payment-page and invoicing platform operated by Cortex Automations ("Payvex," "we," "us," or "our"), available at payvex.io. Payvex helps US businesses turn QuickBooks Online invoices into hosted payment pages with dual pricing display, recurring invoicing, and a customer portal.

This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our website, our merchant dashboard, and the hosted payment pages we provide on behalf of our merchants. If you have questions at any point, contact us at support@payvex.io.

2. Information we collect

Account and merchant information

When you create a Payvex account, we collect your name, business name, email address, and password credentials, along with the business details needed to set up your account — such as your business address, website, and the information requested during merchant onboarding. If you contact support, we keep a record of that correspondence so we can help you.

Customer payment-page data

When one of your customers pays an invoice through a Payvex payment page, we collect the information the customer submits on that page: their name, email address, and their payment selection (for example, whether they chose the cash price or the card price, and the invoice being paid). We use this information to complete the payment, send a receipt, and record the transaction against the right invoice. We do not collect card numbers or bank account numbers on our servers — see "Payment information" below.

QuickBooks Online data

If you connect QuickBooks Online, you authorize Payvex to access certain data from your QuickBooks company through Intuit's OAuth authorization flow. The data we access includes invoices, customers, items, and payment status. We use this data solely to provide the service: generating payment pages from your invoices, keeping payment status in sync, and reconciling payments back to QuickBooks.

You can revoke this access at any time, either from your Payvex dashboard or from your Intuit account settings. Revoking access stops all further synchronization between Payvex and QuickBooks Online. Records already synchronized to Payvex remain in your account until you ask us to delete them.

Payment information

Payments are processed by a third-party payment processor. When a customer enters card or bank details, those details are entered directly into secure fields hosted by the payment processor and are tokenized by the processor. Payvex never sees, transmits, or stores card numbers or bank account numbers. We receive only a token and limited transaction metadata (such as the amount, status, and the last four digits of the card) needed to display transaction history and reconcile payments.

Waitlist and contact submissions

If you join our waitlist or submit a contact form, we collect the information you provide — typically your name, email address, business name, and message. We use Resend, an email service provider, to deliver and manage these messages.

Usage data

We use privacy-friendly, cookieless analytics (Vercel Analytics) to understand aggregate site usage — things like page views, referring pages, and general device and browser categories. This analytics approach does not use advertising cookies, does not track you across other sites, and does not build individual profiles. We also collect standard server logs (such as IP address and request data) for security and reliability purposes.

3. How we use information

We use the information described above to:

  • Provide and operate the Payvex service, including hosting payment pages, processing payment events, and maintaining your merchant dashboard;
  • Synchronize invoice and payment data with QuickBooks Online at your direction;
  • Send transactional email, such as receipts, payment confirmations, account notifications, and responses to your inquiries;
  • Provide customer support;
  • Monitor, secure, and improve the product, including diagnosing issues and understanding which features are used.

We do not sell personal data. We do not use your data, or your customers' data, for third-party advertising, and we do not share it with advertising networks.

4. How we share information

We share information only with the categories of service providers needed to run Payvex:

  • Payment processor — to process payments, tokenize payment credentials, and manage merchant underwriting and payouts;
  • Intuit (QuickBooks Online) — to synchronize invoices, customers, items, and payment status when you connect your QuickBooks account;
  • Email service provider (Resend) — to deliver transactional email and waitlist/contact communications;
  • Cloud hosting and infrastructure providers — to host the application, store data, and serve the website.

Each provider receives only the information needed to perform its function. We may also disclose information when required by law, regulation, legal process, or enforceable governmental request, or when we believe disclosure is necessary to protect the rights, safety, or property of Payvex, our merchants, or others.

If Cortex Automations is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.

5. Data retention

We retain account and transaction data for the life of your account and afterward as required by law, including financial-record and tax obligations that apply to payment transactions. When you ask us to delete your data, we will delete or de-identify it except where retention is required for those legal obligations, dispute resolution, or enforcement of our agreements. Waitlist and contact submissions are retained only as long as needed for the purpose they were submitted.

6. Security

We use industry-standard safeguards to protect your information, including encryption in transit (TLS), tokenization of payment credentials by our payment processor, access controls that limit internal access to those who need it, and logging of administrative activity. Card and bank numbers never touch Payvex servers.

That said, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If we learn of a breach affecting your information, we will notify you as required by applicable law.

7. Your rights and choices

You may request access to, correction of, or deletion of your personal information by emailing support@payvex.io. We will respond within a reasonable time and honor your request subject to the retention obligations described above.

You can disconnect QuickBooks Online at any time from your Payvex dashboard or your Intuit account settings. You can unsubscribe from non-transactional email using the link in any such message. Because our analytics are cookieless, there are no advertising cookies to opt out of.

If your customers contact us directly about data we process on your behalf, we will refer them to you, or handle the request at your direction, consistent with our role as your service provider.

8. Children

Payvex is a business service. It is not directed at anyone under 18, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us at support@payvex.io and we will delete it.

9. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the dashboard before the changes take effect. The "Effective date" at the top of this page shows when the current version became effective. Your continued use of Payvex after changes take effect means you accept the updated policy.
